                       What you need to know for apostillation of documents    

 

     Apostillation of documents in Ukraine is a process by which official documents issued in Ukraine acquire legal force in other countries that are members of the Hague Convention of 1961. This procedure is an alternative to legalization of documents through diplomatic and consular institutions.

 

                         Steps for apostillation of documents in Ukraine

 

    Determination of the need for apostilization. Check whether the country to which the document is submitted is a party to the Hague Convention. If not, consular legalization may be required.

 

    Preparation of documents:
1. Original documents: Make sure the documents are original and undamaged.
2. Notarized copies: in some cases, an apostille can be placed on notarized copies of documents.


     Submission of documents to the relevant body:

 

     1. Ministry of Education and Science of Ukraine: an apostille is affixed to educational documents (certificates, diplomas, supplements to diplomas).
     2. The Ministry of Justice of Ukraine: an apostille is affixed to documents issued by judicial authorities (certificates of birth, marriage, death, divorce, name change, etc.), as well as to notarized documents.
    3. The Ministry of Foreign Affairs of Ukraine: the apostille is affixed to all other documents that are not within the competence of the Ministry of Education and Science and the Ministry of Justice.
    4.The Ministry of Internal Affairs authorizes the affixing of an apostille on documents issued by it and its territorial bodies for the provision of service services, with the exception of documents related to the field of education and science.
    5. The State Migration Service is authorized to certify apostilles of documents issued by it, its territorial bodies and territorial subdivisions, which relate to the field of migration, such as immigration, emigration, combating illegal migration, citizenship, refugees and other categories of migrants defined by legislation.
    6. The State Tax Service of Ukraine is authorized to affix an apostille on documents issued by it and its territorial bodies.


     Application submission:
1. In person or through a proxy: You can submit documents in person or through a proxy. You can also use the services of specialized companies engaged in apostillation of documents.
2. Payment of state duty: state duty must be paid before submitting documents. The size of the duty may change, so it is better to check the current rates on the official websites of the relevant ministries.

 

    Additional tips:
1. Translation preparation: if the document is intended for use in a country with a different language, an official translation of the document may be required after apostillation. The translation must also be notarized.
2.
